The All-Colleague Conference will be April 30-May 1, concluding at 1:00 p.m. The JCEP Conference will begin May 1 at 1:30 p.m. and conclude May 2 at the Wilderness Resort and Glacial Canyon Lodge in Wisconsin Dells. Below are instructions to make room reservations and for the reimbursement process.

For the All-Colleague Conference, Cooperative Extension will reimburse the hotel stay ($82 single, $99 double) on Monday, April 30, and the mileage for the All-Colleague Conference. Please car pool wherever possible.  We encourage employees to stay overnight or through Monday evening for the dinner and social events. For employees traveling farther than three hours, lodging can be reimbursed for Sunday April 29, as well. For the JCEP Conference, contact your immediate supervisor regarding reimbursement for your Tuesday, May 1, JCEP conference expenses.

Due to limited room availability and budgetary reasons, you are strongly encouraged to share lodging with other Cooperative Extension colleagues. You will need to make your own hotel reservation. If you are staying for JCEP, you will need to make sure you request those nights as well. The hotel has agreed to only require a credit/debit card to hold the reservation and then will charge at check-out. You will need to tell them that has been noted on our group ID.  Otherwise they WILL charge upfront.

You must file for travel reimbursement within 45 days after the event. Standard travel expenses, as described above, can be claimed on an electronic Travel Expense Report (e-TER.)  For reimbursement, all names will need to be on the folio. The Office of Financial Services will send an email to all registered attendees prior to the event with the tax exempt form and information to assist you with the Travel Expense Report (e-TER) process.

• If you live within 50 miles of the location, plan to attend the evening programs on April 30 AND the programs on May 1, your lodging will be reimbursed due to the impracticality of driving home.  When you file your e-TER, you will need to state that for your reason of lodging.

Meals

Meals will be provided as a part of the All-Colleague Conference. A per diem will not be provided and meals outside of that conference are the responsibility of the individual.
