Who is paying for meeting expenses?

  • The Annual All Institutes meeting expenses ( including travel, lodging, meals, and incidental expenses) will be covered by Annual Meeting funds.  The funding string will be provided on the meeting website in the near future.
  • Meeting expenses for activities on November 20 will be the responsibility of the group organizing the meeting. This includes any lodging expenses for the evening of November 19; return travel will be covered by the Annual Meeting funds. 

Who is the intended audience for this meeting?

  • All colleagues engaged in program planning, implementation and evaluation at a local, regional and state level are encouraged to attend.

Which meals are covered as part of attendance at the meeting?

  • Lunch on November 18-19 and breakfast for November 19 will be provided. 
  • Breakfast on November 18th and dinners November 18-19  will be “on your own.” For individuals with overnight lodging, your breakfast and dinner meal expenses can be reimbursed through your eTER.
  • Decisions about included meals were based upon adherence to UW-Madison contract policies; however, meals that are not provided through the conference but part of conference travel will still be reimbursed, as appropriate, according to standard travel reimbursement policies.

Do I have to share a room?

  • Colleagues are encouraged to share a room.

If I reside in a county close to Madison but do not want to travel at night, can I reserve a room and get reimbursed?

  • The University will not pay lodging costs when travelers are within 50 miles of their home or headquarter city unless the travel is for a multi-day event with an evening business-related activity that makes returning to the employee’s home impractical.

Will parking expenses at the Monona Terrace be covered for individuals with a home office in Dane County?

  • Yes.
